11 red flags that say find a different operator.
1. Quote much below market
100-guest wedding: $2,500-$5,500. Quote at $1,200? Math doesn't work — uninsured, used / damaged equipment, or planning surprise upcharges.
2. No insurance certificate
Real operators carry $1M+ general liability + auto. No certificate = no insurance = your problem if something breaks or someone gets hurt.
3. Cash-only / cash up front
Reputable operators take card, ACH, check, or Venmo + clearly state "50% non-refundable deposit at booking, balance 14 days before event." Cash up front = scam pattern.
4. No business name, LLC, or website
"Just text me" with no business name = no recourse if anything goes wrong.
5. Won't show real photos / only stock
Party rental is a visual category. Operators with no real-event photos = newer than they're claiming or hiding history.
6. Equipment looks worn / dirty in photos
Stained linens, scratched tables, faded chairs = what you'll get IRL is worse.
7. Vague service area
"All of [state]" from a single operator = chasing every job, not a real business.
8. No written contract
Verbal-only deals = exposed. Pro sends a contract with package, terms, cancellation policy, damage liability.
9. Reluctance to discuss damage policy
Right answer: "Damage waiver $X optional. Without it, any damage is billed at replacement cost. Standard wedding industry practice." Pro has clear policy.
10. High-pressure / urgency sales
"Book today or lose this rate." Real operators are booked 2-6 months out for weddings.
11. Won't confirm delivery + pickup times in writing
Pro pins down: "Saturday delivery 8 AM, setup complete by noon, pickup Sunday 10 AM." Vague delivery = surprise day-of.
